Hood Mastermind Privacy Policy

Hood Mastermind respects your privacy and believes accountability requires trust.

This Privacy Policy explains how Ty and Clay, LLC, doing business as Hood Mastermind (“Hood Mastermind,” “we,” “us,” or “our”), collects, uses, shares, stores, and protects information when you interact with:

  • the Hood Mastermind mobile application;
  • the Hood Mastermind website;
  • Hood Mastermind groups and community features;
  • virtual or in-person Hood Mastermind events;
  • email lists, contact forms, event registrations, and related communications;
  • future Hood Mastermind services, including optional artificial intelligence, video, transcription, and meeting-recording features.

Together, these are referred to in this Policy as the “Services.”

This Policy should be read together with our Terms of Service and Community Guidelines.


1. Who We Are

2. Age Requirements

Mobile App and Member Community

The Hood Mastermind mobile application and member community are intended only for individuals who are 18 years of age or older.

During account creation, we require a date of birth to confirm that the person creating the account meets our minimum age requirement.

If the entered date shows that the person is under 18:

  • account creation is not permitted;
  • we stop the registration process before collecting an email address or password; and
  • the person may not use the mobile app or member community.

Website and Events

The Hood Mastermind website is not directed to children.

Age requirements for individual events may vary and will be disclosed during registration. If an event permits someone under 18 to attend, registration and participation may require the involvement or consent of a parent or legal guardian.


3. Information We Collect

The information we collect depends on how you interact with Hood Mastermind.

3.1 Account and Authentication Information

When you create an app account, we may collect:

  • email address;
  • authentication credentials;
  • account creation date;
  • login and authentication records;
  • account status; and
  • records showing that required policies or age requirements were accepted.

Authentication credentials are processed through Firebase Authentication. We do not have access to your password in readable form.

3.2 Age-Verification Information

We collect your full date of birth solely to determine whether you are at least 18 years old.

Your date of birth:

  • is stored separately from your public member profile;
  • is not displayed to other members;
  • is not used for advertising;
  • is not used to personalize recommendations;
  • is not used to calculate credibility; and
  • is not used for identity-document verification.

The rest of the app generally uses only a yes-or-no indication that the minimum age requirement was met, together with the date the verification occurred.

3.3 Profile Information

You may choose to provide information such as:

  • username;
  • display name;
  • profile photograph;
  • biography;
  • skills;
  • interests;
  • focus areas;
  • personal or professional goals; and
  • other information you choose to add to your profile.

3.4 Goals, Accountability, and Community Content

We collect content and activity that you create through the Services, including:

  • goals and reasons for pursuing them;
  • deadlines and completion information;
  • progress updates;
  • reflections;
  • accountability entries;
  • behavioral observations and feedback;
  • Hot Seat entries and responses;
  • comments and replies;
  • reactions;
  • group names and descriptions;
  • join requests and accompanying messages;
  • meeting details;
  • invitations;
  • credibility activity;
  • reports submitted about members or content; and
  • other communications or content you choose to share.

Some goals, reflections, or conversations may contain personal or sensitive information that you voluntarily provide. Hood Mastermind does not require you to disclose medical, financial, religious, political, or other highly sensitive information. You should share only what you are comfortable sharing with the intended audience.

3.5 Group and Meeting Activity

We may collect information about:

  • groups you create, administer, join, or request to join;
  • your role within a group;
  • meeting attendance and participation;
  • scheduled meeting dates and times;
  • Hot Seat participation;
  • invitations and responses;
  • meeting status and duration; and
  • technical information needed to establish or maintain a live session.

3.6 Event Registration and Attendance

When you register for or attend a Hood Mastermind event, we may collect:

  • name;
  • email address;
  • telephone number, if requested;
  • ticket or registration information;
  • event preferences;
  • attendance status;
  • organization, occupation, or professional interests;
  • questions submitted before or during the event;
  • accessibility or dietary requests;
  • feedback, surveys, or testimonials;
  • payment and transaction information; and
  • photographs, audio, or video as described in this Policy.

We collect only the information reasonably needed to organize, operate, communicate about, and improve the event.

3.7 Payments

Some events, subscriptions, services, or features may require payment.

Payments may be processed by Apple, Google, an event-registration provider, or another third-party payment processor. Those providers may collect payment-card, billing, tax, and transaction information under their own privacy policies.

Hood Mastermind generally does not receive or store your complete payment-card number. We may receive limited transaction information, such as:

  • purchaser name;
  • amount paid;
  • transaction date;
  • payment status;
  • subscription status;
  • refund status; and
  • a transaction or receipt identifier.

3.8 Website, Forms, and Communications

When you visit our website, join an email list, complete a form, or contact us, we may collect:

  • name;
  • email address;
  • message content;
  • reason for contacting us;
  • event interests;
  • communication preferences;
  • referral information;
  • form-submission records; and
  • information you otherwise choose to provide.

3.9 Device, Usage, and Diagnostic Information

We may automatically collect limited technical information needed to operate, secure, and improve the Services, including:

  • device type;
  • operating system;
  • app version;
  • browser type;
  • language and regional settings;
  • approximate location derived from an IP address;
  • IP address;
  • date and time of access;
  • feature usage;
  • app navigation and interaction events;
  • crash reports;
  • performance information;
  • error logs;
  • security and fraud-prevention signals; and
  • unique technical identifiers associated with the app installation or session.

We use Firebase Crashlytics and related infrastructure to identify crashes, errors, and reliability problems.

3.10 Push Notifications

If you enable push notifications, we collect and store:

  • a device notification token;
  • notification permission status;
  • notification preferences;
  • delivery information; and
  • information needed to route a notification to the appropriate content.

Push notifications may relate to goals, progress updates, accountability, comments, mentions, groups, invitations, meetings, or other activity.

You can disable push notifications through the app or your device settings.

3.11 Reports and Safety Information

If you report content, conduct, or another member, we may collect:

  • the identity of the reporting account;
  • the reason for the report;
  • supporting details;
  • references to the reported content or member;
  • attachments or screenshots you provide;
  • investigation notes;
  • enforcement decisions; and
  • related communications.

We may preserve safety and abuse records longer than ordinary account content when reasonably necessary to protect members, prevent repeated abuse, comply with law, or defend legal claims.

3.12 Information From Third Parties

We may receive information from third parties involved in providing the Services, including:

  • app stores;
  • authentication providers;
  • payment processors;
  • event-registration platforms;
  • email-delivery providers;
  • website-hosting providers;
  • analytics and diagnostic providers;
  • co-hosts or event partners; and
  • other members who invite, mention, report, or interact with you.

4. Live Audio and Video Meetings

Hood Mastermind may provide live audio and, in the future, video meeting features.

Live meetings may use WebRTC or similar technology. Audio or video is transmitted in real time between participants. Connection data and encrypted media traffic may pass through or be relayed by Hood Mastermind infrastructure or service providers when required to establish or maintain the session.

Current Recording Practice

Hood Mastermind meetings are not recorded by default.

Participants may not secretly record meetings or other members in violation of applicable law, our Terms of Service, or the reasonable expectations of participants.


5. Optional Meeting Recordings and Transcripts

Hood Mastermind may introduce optional meeting-recording, transcription, playback, or summarization features.

If a meeting may be recorded:

  • participants will be notified before recording begins;
  • a visible or audible recording indicator will be provided;
  • consent will be requested where required;
  • participants may decline by not joining, leaving the meeting, or using another choice provided at the time;
  • the purpose of the recording will be explained; and
  • available access, retention, and deletion controls will be disclosed.

Depending on the feature, a recording may include:

  • audio;
  • video;
  • screen sharing;
  • meeting chat;
  • speaker names;
  • timestamps;
  • transcripts;
  • summaries;
  • action items; and
  • meeting metadata.

Recordings and transcripts may be used to:

  • allow authorized participants to review a meeting;
  • generate notes, summaries, or action items;
  • support accountability and follow-through;
  • provide AI-assisted feedback requested by participants;
  • investigate reported safety issues; or
  • improve the specific feature, as disclosed when it is used.

Recordings will be accessible only to the members, group administrators, event organizers, or other people identified when the recording is created, except when disclosure is required for safety or legal reasons.

The retention period and deletion controls for recordings will be disclosed before or when recording becomes available.


6. Artificial Intelligence Features

Hood Mastermind may introduce optional artificial intelligence features to help members organize ideas, reflect on progress, prepare for meetings, identify patterns, generate summaries, create action items, or receive accountability-related suggestions.

AI features may process information such as:

  • goals;
  • progress updates;
  • reflections;
  • accountability entries;
  • Hot Seat content;
  • meeting transcripts;
  • comments;
  • profile preferences; and
  • prompts or instructions you submit.

How AI Features Will Work

Before personal content is submitted to an AI feature, we will provide an appropriate notice explaining what information will be processed and what the feature will do.

AI features may rely on third-party model or infrastructure providers acting on our behalf. We will require providers to handle information under appropriate contractual and security protections.

We will not use private community content, private goals, meeting recordings, or meeting transcripts to train a general-purpose artificial intelligence model without separate, explicit consent.

AI-generated responses may be incomplete, inaccurate, or inappropriate. They should not be treated as medical, legal, financial, mental-health, employment, or other professional advice.

Hood Mastermind does not use AI to make decisions that produce legal or similarly significant effects about members.

You may choose not to use optional AI features unless a particular AI function is clearly identified as necessary for the service you request.


7. Event Photography, Audio, and Video

Hood Mastermind events may be photographed, livestreamed, or recorded for purposes such as:

  • event operations;
  • recaps;
  • education;
  • community updates;
  • promotional materials;
  • social media;
  • the Hood Mastermind website; or
  • future Hood Mastermind content.

When an event is expected to be photographed or recorded, we will provide reasonable notice through the event listing, registration process, signage, announcements, or another appropriate method.

Where required by law, we will obtain consent.

If you do not wish to be intentionally photographed, interviewed, or featured, notify the event organizer before or when you arrive. We will make reasonable efforts to accommodate the request, although we may not be able to prevent incidental appearance in wide-angle crowd images or recordings of public event spaces.

We will seek separate permission before using a private testimonial, interview, or prominently featured personal story when such permission is reasonably expected.


8. How We Use Information

We may use information to:

  • create and administer accounts;
  • verify eligibility and age requirements;
  • authenticate members;
  • provide goals, accountability, groups, meetings, Hot Seats, credibility, and other community features;
  • display content according to selected visibility settings;
  • calculate credibility and other community signals;
  • organize and operate events;
  • process registrations, subscriptions, payments, and refunds;
  • send service-related notices;
  • deliver notifications requested or enabled by members;
  • respond to questions and support requests;
  • send event announcements, newsletters, or marketing communications when permitted;
  • personalize the member experience;
  • enable optional AI, transcription, video, or recording features;
  • improve performance, usability, reliability, and accessibility;
  • detect fraud, abuse, security incidents, and violations of our rules;
  • investigate reports and enforce our Terms and Community Guidelines;
  • maintain business, accounting, tax, and transaction records;
  • comply with legal obligations;
  • establish, exercise, or defend legal claims; and
  • protect the rights, property, safety, and integrity of Hood Mastermind, our members, event attendees, and others.

We do not sell personal information.

We do not rent personal information.

We do not currently use personal information for targeted advertising or cross-context behavioral advertising.


9. Information Visible to Other Members

Hood Mastermind is a social accountability service. Information you choose to share may be visible to other people.

Depending on your settings, group memberships, and activity, other members may see:

  • username and display name;
  • profile photograph;
  • biography, skills, and focus areas;
  • credibility score or level;
  • groups you belong to;
  • goals shared with a group or community;
  • progress updates;
  • accountability activity;
  • comments and replies;
  • Hot Seat participation;
  • meeting participation; and
  • other content you intentionally share.

Private goals or content are not intended to be displayed to other members unless you change their visibility or share them through another feature.

The following are not displayed as part of your public member profile:

  • email address;
  • readable password;
  • full date of birth;
  • private authentication records;
  • push-notification token;
  • private device and diagnostic records; and
  • payment-card information.

Before sharing personal information within a group, remember that other members may save, copy, discuss, or redistribute information outside Hood Mastermind despite our rules. No online community can turn every participant into a vault with excellent judgment.


10. How We Share Information

We may share information in the following circumstances.

10.1 With Other Members

We share profile, group, goal, meeting, and community content according to the visibility choices you make and the features you use.

10.2 With Service Providers

We use service providers to help operate the Services. These may include providers of:

  • cloud hosting and database services;
  • authentication;
  • file storage;
  • notifications;
  • communications;
  • crash reporting and diagnostics;
  • website hosting;
  • forms;
  • email delivery;
  • event registration;
  • payments;
  • customer support;
  • live audio and video infrastructure;
  • transcription; and
  • artificial intelligence.

Current core technology providers include Google Firebase and Apple Push Notification Service.

Service providers may access information only as reasonably necessary to perform services for us and are expected to protect it under contractual or legal obligations.

10.3 With Event Co-Hosts and Operational Partners

We may share limited registration or attendance information with a venue, co-host, instructor, facilitator, accessibility provider, security provider, or other event partner when reasonably necessary to operate an event.

We do not provide attendee contact information to sponsors or partners for their independent marketing unless you separately agree.

10.4 At Your Direction

We may share information when you:

  • invite someone to a group;
  • share content;
  • join a group;
  • participate in a meeting;
  • use an integration;
  • request an AI or transcription feature; or
  • otherwise direct us to disclose information.

10.5 For Safety and Legal Reasons

We may preserve or disclose information when we reasonably believe doing so is necessary to:

  • comply with applicable law, regulation, legal process, or a valid government request;
  • investigate fraud, abuse, harassment, exploitation, or security incidents;
  • enforce our Terms of Service or Community Guidelines;
  • protect the safety of members, attendees, or the public;
  • prevent death or serious physical harm;
  • protect Hood Mastermind’s rights or property; or
  • report suspected child sexual abuse material or exploitation to appropriate authorities, including the National Center for Missing & Exploited Children when required.

10.6 Business Transfers

If Hood Mastermind or Ty and Clay, LLC is involved in a merger, acquisition, financing, restructuring, bankruptcy, or sale of some or all assets, information may be transferred as part of that transaction, subject to applicable law.

10.7 Aggregated or De-identified Information

We may use or share information that has been aggregated or reasonably de-identified so that it cannot reasonably be linked to a particular person.


11. Cookies and Website Analytics

Our website may use cookies, local storage, server logs, and similar technologies to:

  • operate website functionality;
  • remember preferences;
  • protect forms and accounts;
  • prevent spam or abuse;
  • understand general website usage;
  • measure event or campaign interest; and
  • improve performance.

Where required, we will request consent before using non-essential cookies or similar technologies.

You may be able to control cookies through your browser settings. Disabling cookies may affect parts of the website.

We do not currently use cookies to track individuals across unrelated websites for targeted advertising.


12. Email and Other Communications

If you subscribe to Hood Mastermind updates, register for an event, or create an account, we may send:

  • account and security notices;
  • event confirmations and reminders;
  • group or meeting notices;
  • service announcements;
  • requested notifications;
  • newsletters;
  • event announcements; and
  • other Hood Mastermind updates.

You may unsubscribe from promotional email by using the unsubscribe link in the message.

You may still receive non-promotional communications that are necessary to operate your account, complete a transaction, provide event information, respond to a request, or protect the Services.

We may retain a limited suppression record after you unsubscribe so we can honor your preference.


13. Credibility and Automated Processing

Hood Mastermind may calculate credibility scores, levels, streaks, or similar community signals from activity such as:

  • creating goals;
  • completing commitments;
  • posting progress;
  • participating in accountability;
  • helping hold others accountable;
  • missing commitments; or
  • deleting or failing accountabilities.

These calculations help members understand consistency and participation within Hood Mastermind.

Credibility signals are not credit scores, background checks, employment evaluations, or measures of a person’s overall worth. They are not used to make decisions that have legal or similarly significant effects.


14. Data Retention

We retain information only for as long as reasonably necessary for the purposes described in this Policy.

Retention periods depend on:

  • the type of information;
  • the feature involved;
  • whether your account remains active;
  • your choices;
  • safety and fraud-prevention needs;
  • legal and regulatory obligations;
  • contractual requirements; and
  • the need to establish or defend legal claims.

Account Information and Community Content

We generally retain account information and content while your account is active.

When you request account deletion, the account enters a 15-day recovery period. During that period, you may restore it.

After the recovery period, we delete or de-identify personal information associated with the account, except for limited information we must or are permitted to retain for legal, accounting, fraud-prevention, security, safety, dispute-resolution, or enforcement purposes.

Date of Birth

Your date of birth is retained while your account exists as a record that the minimum-age requirement was applied. It is deleted with your account, subject to any limited retention required by law.

Your date of birth cannot currently be changed within the app. Contact us if it was entered incorrectly.

Events and Transactions

We retain event, registration, and transaction records as reasonably needed to:

  • operate the event;
  • process payments or refunds;
  • respond to attendee questions;
  • maintain tax and accounting records;
  • handle disputes; and
  • comply with legal obligations.

Contact and Support Messages

We retain contact and support communications for as long as reasonably necessary to respond, maintain support history, improve the Services, or resolve disputes.

Safety Records

Reports, enforcement records, and related evidence may be retained longer when reasonably necessary to prevent abuse, protect users, comply with law, or document enforcement decisions.

Recordings, Transcripts, and AI Content

If recording, transcription, or AI features are introduced, applicable retention information and deletion controls will be disclosed through the feature. We will not retain such information longer than reasonably necessary for the disclosed purpose.

Backups

Deleted information may remain in encrypted or restricted backups for a limited period before being overwritten through normal backup processes.


15. Account Deletion and Data Export

App members may:

  • request a copy of their data using the in-app Export My Data feature; and
  • begin account deletion through the app.

For information collected through the website, events, forms, or other services, you may contact us to request access, correction, or deletion.

We may need to verify your identity before completing certain requests. We will use information provided for verification only to process the request and protect accounts from unauthorized access.

Deleting your account may not remove information that:

  • another member independently created;
  • was lawfully shared with others before deletion;
  • must be retained for legal, security, safety, accounting, or dispute purposes; or
  • has been reasonably de-identified.

16. Your Privacy Rights and Choices

Depending on where you live and subject to applicable law, you may have the right to:

  • know whether we process your personal information;
  • access the personal information we maintain about you;
  • correct inaccurate information;
  • obtain a portable copy of certain information;
  • request deletion;
  • object to or restrict certain processing;
  • withdraw consent where processing is based on consent;
  • opt out of targeted advertising, sale, or certain sharing;
  • appeal a decision concerning a privacy request; and
  • lodge a complaint with an applicable data-protection authority.

Hood Mastermind does not currently sell personal information or use it for targeted advertising.

You may exercise available rights by using the in-app controls or emailing:

We will not discriminate against you for exercising a privacy right.

Authorized agents may submit requests where permitted by law. We may require proof that the agent is authorized and may verify the request directly with you.


17. Legal Bases for Processing

Where the European Economic Area, United Kingdom, or another jurisdiction requires a legal basis, we process personal information based on one or more of the following:

  • Contract: to create and operate your account, process registrations, provide events, and deliver requested features;
  • Consent: for optional notifications, marketing, recordings, certain cookies, or optional AI features where consent is required;
  • Legitimate interests: to secure, maintain, improve, and operate the Services, understand usage, prevent abuse, and support our community;
  • Legal obligations: to comply with laws, regulations, court orders, tax requirements, and valid legal processes; and
  • Vital interests: when processing is reasonably necessary to protect someone’s life or physical safety.

You may withdraw consent at any time, although withdrawal does not affect processing that was lawful before it was withdrawn.


18. International Data Transfers

Hood Mastermind is based in the United States.

We and our service providers may process information in the United States and other countries that may have different data-protection laws from your location.

Where required by law, we use appropriate safeguards for international transfers.


19. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information, including:

  • authentication and access controls;
  • encryption in transit;
  • restricted access to private records;
  • server-side validation;
  • security monitoring;
  • database security rules;
  • logging and diagnostic controls; and
  • data-deletion procedures.

No electronic system, transmission, or storage method is completely secure. We cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your credentials and for activity performed through your account.

Contact us promptly if you believe your account or personal information has been compromised.


20. Children’s Privacy

The Hood Mastermind app and member community are for adults 18 and older.

We do not knowingly permit anyone under 18 to create an app account.

If we learn that someone under 18 created an account or submitted personal information in violation of our requirements, we will take appropriate steps to suspend the account and delete the information, subject to any preservation required for safety or legal reasons.

If you believe someone under 18 is using the Hood Mastermind app or member community, contact:

Hood Mastermind maintains a zero-tolerance policy toward child sexual abuse material, child sexual exploitation, and grooming. We may preserve and report suspected illegal material or conduct to the appropriate authorities as required by law.


21. Third-Party Services and Links

The Services may contain links to or integrations with third-party websites, platforms, event tools, payment services, or other services that Hood Mastermind does not control.

This Policy does not govern a third party’s independent privacy practices. Review the privacy information provided by those third parties before submitting information to them.


22. Changes to This Policy

Hood Mastermind will continue to evolve, including through new community, event, artificial intelligence, video, transcription, and recording capabilities.

We may update this Privacy Policy when our Services, technologies, legal obligations, or information practices change.

When we make a material change, we will:

  • update the effective or last-updated date;
  • post the revised Policy;
  • provide additional notice through the app, website, or email when appropriate; and
  • request consent where required by law.

A new feature may also include a shorter, feature-specific notice presented when you use it.
